Project Coordinator, Long Term Strategies
Program Overview
Solving the climate crisis requires a diverse army of actors, multiple pathways, and targeted interventions; there is not a single "silver bullet." The Climate, Economics, and Finance Program (CEF) at WRI specializes in tailoring these approaches, helping policymakers, businesses, and civil society at all levels drive the deep, structural shifts necessary to address climate change.
Within WRI's Global CEF Program, the Ambition Pillar works with countries to achieve their climate objectives, build strong, climate-resilient economies, and navigate a just transition. We focus on designing long-term climate strategies to help key countries reach net-zero emissions by 2050.
Position Summary:
The WRI Climate, Economics, and Finance Program seeks an assertive, highly organized, and detail-oriented Project Coordinator to support a diverse team within the Ambition Pillar. You will primarily support the Long-Term Strategies project, which aims to shift climate policies and improve implementation readiness in four major emerging economies. This work is critical to achieving the Paris Agreement objectives.
As Project Coordinator, you will provide essential financial and administrative support to senior managers and project teams for the Long-Term Strategies and other Ambition Pillar projects. You will prepare final donor financial reports, process payments, track expenditures, and support budget and financial proposal development. You will also draft and monitor project contracts and procurements as well as manage team meetings and facilitate outreach efforts and events and other tasks as assigned
- Prepare final financial report for project’s main donor and work with relevant departments to finalize report and support extensive audit process
- Update and maintain project budgets including shared grants, cost-share, and other complex project financial arrangements
- Regularly review, update, and monitor all transactions, commitments, and revenue prospects for projects
- Maintain project financial trackers, including details of project budget, project expenses, partner spending to support project manager financial decision making
- Solicit, review, and process invoices and other payments in compliance with established WRI policy
- Follow WRI’s internal processes and deadlines related to funding, including quarterly reviews, monthly & annual closeouts, and future fiscal year annual budget submissions
- Liaise with other CEF projects to coordinate on staffing, fundraising, and financial management
- Support partner management by drafting language for contracts, reviewing quarterly financial reports, facilitating review and feedback of quarterly progress reports, ensuring all supporting documentation is provided and accurate, and keeping meticulous records of all partners documents (reports, invoices, receipts, supporting documents)
- Support project managers in coordinating with external partners, and liaise closely with WRI staff across programs and departments, as well as operations teams at WRI international offices
- Process contracts, procurement documents, work orders, and other formal documentation for project commitments
- Prepare and maintain sub-agreements and contracts in collaboration with project team ensuring agreements are completed on time, including the timely and accurate submission of progress and financial reports
- Support financial report for project management and external donors and work with relevant departments to document expenses and prepare for audits
- Draft grant proposal budgets and assist in the collection and submission of formal proposals for team fundraising efforts
- Support donor and grants management by supporting upkeep of company database and other knowledge management systems
- Monitor and advise team on maintaining compliance with terms and conditions of complex grant and contract agreements
- Coordinate and schedule team meetings and assist in coordination of team’s planning processes, including responsibilities for meeting notes, action items, etc.
- Coordinate recruitment and manage onboarding of new staff members and interns
- Keep meticulous electronic filing system for project documents including contracts, reports and relevant backup documentation, such as invoices and timesheets
- Coordinate conference, webinars and event logistics for domestic and international meetings and workshops, including venue, catering, equipment, translators, travel, per diem and visa support for WRI staff and event participants
- Education: You have a completed Bachelor's degree required or sufficient work experience to demonstrate equivalent professional competency
- Experience: 1+ years of relevant, full-time work experience, preferably including familiarity with financial management, grants or contract management, or nonprofit operations
- Demonstrated strong computer skills including high level of comfort with Microsoft Office (Excel, Word, PowerPoint, Outlook), web-based communications (Teams, Zoom), and CRM database (Salesforce), with experience in Workday preferred
- Detail-oriented and organized thinker with an interest in financial management, program operations, and grant compliance
- Ability to work independently with minimal supervision, including proactively identifying problems and working with team members to develop solutions
