You will be based in Lima Puluh Kota, West Sumatra. Existing work authorization is required at the time of application submission as WRI is unable to sponsor any visa work sponsorship for this position.

Program Overview

Human society and the global economy are inextricably linked to forests. People depend on forests for their critical role in stabilizing the climate while providing food, water, energy, and many other ecosystem services that vital for human well-being. In Indonesia, community-managed forest areas under Social Forestry (Perhutanan Sosial) schemes present opportunities to empower the adjacent and forest-dependent people to improve rural development, natural resource conservation, and contribute to climate change mitigation. Given the multiple objectives it represents, WRI Indonesia works with governments, businesses, multilateral institutions, financial institutions, civil society groups, and indigenous people and local communities to support Social Forestry acceleration and development.

Under the Blended Finance Model (BFM) for Social Forestry Enterprises Project, WRI Indonesia aims to strengthen Social Forestry Business Groups (Kelompok Usaha Perhutanan Sosial / KUPS) through institutional strengthening, capacity-buildings, land productivity and agroforestry management, sustainable ecotourism development, business incubation, and market partnerships facilitation. The project is designed to improve the readiness of KUPS and its associated cooperatives (Koperasi) to access blended finance mechanisms that combine BFM's grant funding with commercial and non-commercial financing sources.

In Lima Puluh Kota Regency, WRI Indonesia will support 21 target KUPS, covering honey (16), citronella oil (4), and ecotourism (1) enterprises. The area demonstrates strong community institutions and favorable prospects for aggregation-based business models, but many groups still require support in production consistency, Koperasi activation, business management, market linkage, and financing readiness.

Job Highlight

The Field Operation and Procurement Assistant for Agroforestry  will support project implementation in the targeted sites in Lima Puluh Kota District, West Sumatra Province. The Assistant is responsible for coordinating procurement, logistics, administrative processes, and project documentation to ensure field activities are delivered efficiently, accurately, and in compliance with organizational requirements.

The Assistant will report directly to Sumatra Research and Program Development Lead while maintain a close collaboration with the field team, the Monitoring and Evaluation team, and the Administration/Procurement team. This position will be based in Payakumbuh/Lima Puluh Kota with regular travel to targeted villages in the district.

What You Will Do

The Field Operation and Procurement Assistant for Agroforestry main areas of responsibility will include the following:

Procurement Support (60%)

  • Support the procurement process for project-related goods and services, including agroforestry materials, dry houses and its facilities, coffee processing equipment, ecotourism infrastructure and facilities, web development service, and other project assets or third-party services.

  • Support the preparation and consolidation of procurement documentation including Request for Quotation (RFQ), quotation comparison sheets, purchase requests, purchase order, vendor records, delivery documentation, and payment supporting documents.

  • Maintain procurement trackers and provide regular updates on procurement status, delivery progress, and ensure documentation completeness in coordination with field teams and administration/procurement team.

  • Coordinate with field teams, vendors, and the Administration/Procurement team to ensure procurement documentation is compete, accurate, and submitted in a timely manner

Administration and Operation Support (30%)

  • Assist in preparing operational and administrative documentation for project-related activities including attendance lists, internal memos, travel documentations, and other operational requirements.

  • Support coordination with field team and Administration/Procurement team  of field schedules, travel arrangements, logistics, and other operational requirements for project activities

  • Assist monthly operational consolidation for field teams.

Documentation and Database Support (10%)

  • Support field team in collecting, organizing, and maintaining project documentation and field evidence: photos, participant lists, geotagged data/information, MoM, training documentation, and other community’s KUPS progress records and its supporting metadata.

  • Support field team in retrieving supporting evidence quickly for reports, audits, management requests, and project communications.

What You Will Need

  • Bachelor’s degree in Business Administration, Management, Accounting, Public Administration, or other related field.

  • Minimum 1 year of professional experience in project administration, procurement, operations, logistics, project support or other related functions.

  • Experience supporting procurement processes and documentation, including RFW, PR, PO, vendor communications, and payment supporting documents.

  • Strong organizational and administrative skills with ability to manage multiple tasks, competing deadlines, and ensure proper documentation simultaneously

  • Ability to face dynamic field-based development work and willingness to travel frequently to remote areas.

  • Proficiency in Microsoft Office applications (Excel, Word, PowerPoint) and other supporting tools including Google Drive, cloud folders, scanners, and digital filing systems.

  • Good communication and coordination skills, with the ability to work effectively with field teams, vendors, local stakeholders, and project support functions.

  • Ability to collect, collate, organize files to ensure provable and retrievable evidence documentation.Legally able to work in Indonesia.

Preferred Added Value

  • Familiarity with or experience in NGO or other community development projects in field-level.

  • Local presence in or willingness to move to Payakumbuh/Lima Puluh Kota is strongly preferable.

  • Willingness to visit field sites and understand real operational needs beyond office paperwork.

  • Curiosity to learn coffee, honey, ecotourism, and agroforestry operations.

Duration

The assignment is expected to commence immediately for a contract period up to 28 February 2027

Deliverables

Monthly timesheet and progress report submitted accurately at the end of each month. Complete, organized, and audit-ready procurement, payment, logistic,And administrative documentation maintained in accordance with project and organizational requirements. Up to date project documentation and field evidence maintained consistently, including attendance lists, photos, meeting notes, travel documentation, asset/inventory records, vendor archives, and other supporting documentation required for project implementation and reporting   Up to date procurement, logistics, and operational tracking records maintained to support project implementation, monitoring, reporting, and compliances requirements. Final assignment summary report at the end of the contract period highlighting key activities, accomplishments, and recommendation for continuity of improvement

Terms of Payment

Daily-rate-based consultant with a maximum of 20 (twenty) working days per month.
